About the role

The HR Coordinator provides administrative and operational support to the Human Resources Department for East Coast retail operations. This position assists with employee relations administration, personnel record maintenance, onboarding support, workers' compensation tracking, safety documentation, and HR programs. The HR Coordinator serves as a primary point of contact for routine employee inquiries and escalates complex employee relations, compliance, and policy matters to Human Resources management. This role focuses on coordination, documentation, data management, and customer service support for approximately 2,000 employees.

Schedule: On-site, Monday to Friday, 8:00 AM to 5:00 PM

Reports to: Senior Manager, HR

FLSA Classification: Non-Exempt

Essential Duties and Responsibilities

- Respond to routine employee inquiries regarding HR policies, procedures, benefits, leave programs, workers' compensation, and other HR-related matters; escalate complex issues to Human Resources management.

- Assist Human Resources management with employee relations matters by gathering information, scheduling meetings, maintaining documentation, and tracking follow-up actions.

- Prepare, maintain, scan, index, and audit personnel records and employee documentation in the HRIS and other recordkeeping systems.

- Track employee counseling, disciplinary actions, performance improvement plans, and separation documentation to ensure completeness and proper filing.

- Coordinate and maintain employee relations, safety, and compliance-related records and reports.

- Support investigations by gathering documentation, scheduling interviews, and maintaining confidential records as directed by Human Resources management.

- Assist with onboarding, offboarding, and employee status change processes.

- Generate routine HR reports and ensure data accuracy within HR systems.

- Coordinate communication and distribution of HR policies, procedures, and employee resources.

- Assist with HR projects, programs, training initiatives, and departmental activities.

- Maintain confidentiality of employee and company information.

- Perform other duties as assigned.

Requirements

Education and Experience

- Bachelor's degree in Human Resources, Business Administration, Industrial Relations, Behavioral Sciences, or a related field; or an equivalent combination of education and experience.

- Minimum two years of human resources, administrative, or employee support experience.

- Experience in a retail, multi-location, or high-volume environment preferred.

- PHR or SHRM-CP certification preferred.

Knowledge, Skills, and Abilities

- Knowledge of basic Human Resources principles and practices.

- Strong organizational and administrative skills.

- Ability to maintain confidentiality and handle sensitive information appropriately.

- Excellent attention to detail and accuracy.

- Strong customer service and interpersonal skills.

- Ability to manage multiple priorities and meet deadlines.

- Effective written and verbal communication skills.

- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.

- Experience with HRIS systems is preferred.

- Ability to work independently within established procedures and guidelines.

- Strong problem-solving and follow-up skills.

- Ability to effectively communicate with management in English and interact with all levels of management.

Physical Demands

- Regularly required to stand, walk, reach with hands and arms, and stoop, kneel, crouch, or crawl.

- Ability to focus on computer screens for extended periods of time.

- Lifting: up to 30 pounds with a lifting aid for one third to two thirds of the time, and up to 10 pounds for more than two thirds of the time.

- The noise level in the work environment is moderate.
