About The Role:

We are seeking an experienced Client Service Executive to join our Client Service team and serve as the primary relationship manager for a portfolio of clients. This role is ideal for a service-driven professional who enjoys building lasting client relationships while delivering an exceptional client experience.

As a Client Service Executive, you will partner closely with Advisors, Private Wealth Planners, Investment Operations, Insurance Specialists, and other members of the Client Service team to coordinate every aspect of the client relationship. From leading client service meetings and managing ongoing service requests to coordinating financial planning initiatives and overseeing account administration, you will play an integral role in helping clients achieve their financial goals.

What You Are Responsible For:

  • Client Relationship Management
    • Serve as the primary point of contact for an assigned group of client households, delivering an exceptional client experience throughout the relationship.
    • Build trusted, long-term relationships through proactive communication, responsiveness, and thoughtful service.
    • Anticipate client needs and proactively identify opportunities to enhance the client experience.
    • Coordinate and resolve client requests while maintaining clear communication and timely follow-up.
    • Partner with Advisors and Private Wealth Planners to ensure clients receive coordinated, comprehensive financial guidance.  
  • Client Meeting Coordination
    • Coordinate all aspects of client meetings, including scheduling, agenda preparation, gathering financial information, and preparing meeting materials.
    • Lead client service meetings and participate alongside Advisors and Private Wealth Planners during financial planning meetings.
    • Prepare comprehensive meeting summaries, document recommendations, and coordinate post-meeting action items.
    • Ensure all follow-up tasks are completed accurately and within established service standards.
  • Financial Planning & Client Support
    • Assist Advisors and Private Wealth Planners with implementing financial planning recommendations.
    • Prepare financial planning materials, cash flow projections, investment reports, and other client deliverables.
    • Coordinate estate planning, insurance planning, retirement planning, and investment implementation activities.
    • Support clients throughout the implementation process while ensuring a seamless experience across all service areas.
  • Account Administration & Operations
    • Coordinate new account openings, account maintenance, transfers, money movement requests, beneficiary updates, and other account servicing activities.
    • Prepare and process custodian paperwork while ensuring accuracy and completeness.
    • Serve as a liaison between clients, custodians, and internal team members to facilitate timely completion of requests.
    • Monitor outstanding service requests and proactively communicate status updates to clients and team members.         
  • CRM & Operational Excellence
    • Maintain accurate and complete client records within Tamarac CRM and other firm systems.
    • Manage client workflows, tasks, and activities while ensuring timely completion and documentation.
    • Maintain the integrity of client data and ensure documentation meets firm standards.
    • Identify opportunities to improve workflows, enhance operational efficiency, and strengthen the client experience.         
  • Collaboration & Teamwork
    • Partner closely with Advisors, Private Wealth Planners, Investment Operations, Insurance Specialists, and fellow Client Service Executives to deliver coordinated client service.
    • Share knowledge, best practices, and resources to support the continued development of the Client Service team.
    • Contribute to departmental initiatives, process improvements, and firm-wide projects that enhance service delivery and operational excellence.
    • Foster a collaborative, positive, and client-first culture throughout the organization.

What You’ll Bring:

  • 5+ years of experience in client service, relationship management, wealth management operations, or a similar role within an RIA, broker-dealer, family office, or financial services firm.
  • Bachelor's degree from an accredited college or university.
  • Series 65 or Series 66 preferred (waived with CFP® certification or equivalent designation where applicable).
  • Demonstrated experience supporting high-net-worth clients and coordinating complex financial planning and investment relationships.
  • Strong understanding of investment accounts, retirement plans, trust accounts, account servicing, and money movement processes.
  • Outstanding organizational skills with exceptional attention to detail and follow-through.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to work independently while collaborating effectively across multiple departments.
  • Commitment to maintaining the highest standards of professionalism, ethics, confidentiality, and client service.
  • Ability to thrive in a remote work environment while maintaining high accountability.

Preferred Qualifications:

  • Financial Paraplanner Qualified Professional™ (FPQP®)
  • Life & Health Insurance License
  • Experience with Tamarac CRM and Tamarac Reporting
  • Experience using eMoney
  • Experience supporting clients within a fee-only or fee-based Registered Investment Advisor
